Refund and cancellation policy
Last updated: [date]
Draft for review. This policy has not yet been reviewed by legal counsel and is not in force. Passages in [square brackets] still need to be completed.
This is a template for the refund and cancellation rules a school or PTA should publish alongside each event, club, or shop item. The school is the merchant responsible for the specific policy shown at checkout.
Who is responsible for a refund
The school, PTA, or other organiser that lists an event, club, or product decides whether a refund is available and is responsible for approving it. Friends of School provides the checkout and records the transaction; it is not the seller of the school’s tickets, clubs, or uniform.
The organiser should replace the brackets in this template with its own contact details, deadlines, exceptions, and statutory rights before publishing it.
Suggested refund rules
Each organiser should state clearly:
- The date and time by which a cancellation must be requested
- Whether a full or partial refund is available, and any non-refundable booking or payment-provider fee
- What happens if the organiser cancels, postpones, or materially changes an event or club
- Whether a place can be transferred to another child or family
- How long a payment takes to return after approval and which payment method receives it
- Any product-specific rules for personalised, used, or made-to-order items
How to request one
Send a request to [school or PTA refund email] with the order number, purchaser name, reason for the request, and the item or booking concerned. Do not send full card numbers or online-banking credentials by email.
Approved refunds are sent through the original payment provider. Timing depends on the provider and the card issuer or bank. We will not ask you to disclose your card PIN, one-time passcode, or online-banking password.
Your statutory rights
Nothing in this policy removes rights that cannot legally be excluded in the country where you live. Add the organiser’s local consumer-law wording here after legal review: [consumer rights and governing-law text].
This policy is published in English, Arabic, and Hindi. If the versions differ, the English version applies.
